How To Shorten URLs In Bulk In Airtable

In this comprehensive guide, we will walk you through the process of shortening URLs in bulk in Airtable using a URL shortener.

Set Up Your Airtable Base

To get started, you'll need an Airtable account. If you don't have one already, sign up for a free account at airtable.com.

  1. Sign up for a free Airtable account or log in to your existing account.
  2. Click on the "+" icon to create a new base.
  3. Choose "Start from scratch" or select a template to customize.
  4. Give your base a meaningful name, like "URL Shortener".

Create and Customize Fields

  1. Create a new table called "URLs".
  2. Rename the default "Name" field to "Long URL" and set its field type to "URL".
  3. Add a new field called "Short URL" and set its field type to "URL".
  4. (Optional) Add a "Notes" field for any additional information about the URLs.

Import Your URLs

Now, you'll need to import your long URLs into the "Long URL" field in your Airtable base:

  1. If your URLs are in a spreadsheet, CSV file, or another external source, use Airtable's "Import" feature to import them directly into the "Long URL" field.
  2. Alternatively, you can manually add your URLs one by one by clicking on the "+" icon in the "Long URL" field.

Shorten URLs In Bulk

Once your automation is set up and tested, you can easily shorten URLs in bulk:

  1. Import or add multiple long URLs to the "Long URL" field in your Airtable base.
  2. Let the automation process run, shortening each URL and populating the "Short URL" field with the corresponding shortened links.
  3. Export your shortened URLs by selecting the "Short URL" field, clicking on the "Export" button, and choosing the desired format (CSV, Excel, etc.).

Before that, please setup the automation by following the steps below:

Set Up a URL Shortener Integration

In order to shorten your URLs in bulk, you'll need to set up an integration with a URL shortener service. Popular options include Bitly, Rebrandly, and Pretty Links. For this example, we'll use Bitly:

  1. Sign up for a Bitly account or log in to your existing account.
  2. Navigate to the API key management page and generate a new API key.
  3. Copy the API key, as you'll need it for the next step.

Automate URL Shortening with Airtable Apps or Integrations

Using Airtable Apps

  1. Go to your Airtable base and click on the "Apps" icon in the top right corner.
  2. Click on "Add an app" and search for a URL shortener app that supports Bitly (or your preferred URL shortener service).
  3. Install the app and configure it using your Bitly API key.
  4. Set the app to automatically shorten the URLs in the "Long URL" field and populate the "Short URL" field with the shortened links.

Using Zapier

  1. Sign up for a Zapier or Integromat account or log in to your existing account.
  2. Create a new "Zap" (Zapier) or "Scenario" (Integromat) that connects Airtable with Bitly (or your preferred URL shortener service). 3. Configure the trigger to watch for new records in your Airtable "URLs" table, specifically in the "Long URL" field.
  3. Add an action step to shorten the URL using your Bitly API key.
  4. Add another action step to update the corresponding Airtable record, populating the "Short URL" field with the shortened link.
  5. Activate your Zap (Zapier) or Scenario (Integromat) to start the automation process.

Test Your URL Shortening Automation

  1. Add a new long URL to the "Long URL" field in your Airtable base.
  2. Wait for the automation to run (this may take a few seconds to a few minutes, depending on the platform and settings).
  3. Verify that the "Short URL" field has been populated with the shortened link.
  4. Test the shortened link to make sure it redirects correctly to the original long URL.
